Effectly is a WhatsApp-first task management app operated by Upswing Solutions. This Privacy Policy explains how we collect, use, store, and protect information when you use Effectly, our website, mobile app, WhatsApp task flows, and related services.

Summary: We use your data to run task assignment, reminders, team management, app login, subscription access, and customer support. We do not sell your personal data.

1. Who we are

2. Information we collect

Depending on how you use Effectly, we may collect the following information:

Account information: name, business name, phone number, login details, workspace role, and subscription status.
Team information: employee, manager, and vendor names, phone numbers, roles, approval status, and workspace relationships.
Task information: task descriptions, due dates, due times, completion status, reminders, reschedule requests, proof images, and related task activity.
Voice input: if you use voice task creation, the app may access your microphone and process the audio recording to convert speech into task details.
Contacts access: if you choose to import a phone contact, the app may access your device contacts only to help you select team members. We do not upload your full address book unless needed for the selected action.
WhatsApp delivery data: message IDs, delivery status, task links, and reminder activity required to send and track task communication.
Device and usage data: basic technical information such as app version, platform, crash/error logs, and feature usage required to maintain and improve the service.
Payment and subscription data: plan, entitlement, purchase validation result, billing status, and store transaction identifiers. Payments are processed by Apple App Store or Google Play where applicable.

3. How we use information

We use collected information to:

create and manage your Effectly account and workspace;
assign, track, complete, approve, recall, and reschedule tasks;
send task assignments, reminders, and dashboard links through WhatsApp;
support Boss, Manager, Employee, and Vendor workflows;
calculate task usage, plan limits, leaderboards, efficiency, and momentum;
verify subscriptions and unlock paid plan features;
provide customer support and troubleshoot issues;
secure the app, prevent abuse, and comply with legal obligations.

4. Microphone permission

Effectly requests microphone access only when you use voice-based task creation. Audio may be recorded, uploaded, and processed to understand the task, assignee, due date, due time, and related instructions. You can deny microphone permission and continue using typed task creation.

5. Contacts permission

Effectly may request contacts permission to help you quickly add team members from your phone contacts. Contact access is used only for user-selected contact import and team setup. You can add team members manually without granting contacts permission.

6. WhatsApp and third-party services

Effectly uses third-party service providers to operate the product, including hosting, database, authentication, WhatsApp messaging, voice processing, analytics/error monitoring, and app store billing. These providers process data only as needed to deliver the service.

WhatsApp messages are sent through Meta/WhatsApp infrastructure. App subscriptions and payments are handled by Apple App Store and Google Play according to their respective terms and privacy policies.

7. Data sharing

We do not sell your personal data. We may share limited data with:

service providers who help operate Effectly;
app stores and payment platforms for subscription verification;
WhatsApp/Meta for sending task-related messages;
legal or regulatory authorities if required by law;
workspace administrators, such as the Boss account, according to the product’s team-management roles.

8. Data retention

We keep information for as long as needed to provide Effectly, maintain business records, resolve disputes, comply with legal obligations, and improve the product. Workspace owners may delete or deactivate team members and task history may be retained where required for audit, support, or reporting.

9. Security

We use reasonable technical and organizational safeguards to protect information. However, no internet-based service is completely secure, and we cannot guarantee absolute security.

10. Your choices and rights

You can choose not to grant optional permissions such as microphone or contacts access. You may request access, correction, or deletion of your personal information by contacting us at support@effectly.app. Some information may need to be retained where required by law, billing records, security, or legitimate business purposes.

11. Children

Effectly is intended for businesses and is not directed to children. We do not knowingly collect personal data from children.

12. Changes to this policy

We may update this Privacy Policy from time to time. The latest version will be posted on this page with the updated date.
